Filipow Associates Inc. is based in Sherwood Park, Alberta, Canada. We provide medical physics compliance services, x-ray and laser regulatory compliance services, and radiation safety services to medical, dental, veterinary, and industrial facilities.

We take privacy seriously. We collect only what we need to run our service, and we do not sell or share your information for any other purpose.

2. What information we collect

  • Account information: your name and email address, provided when your account is created by our staff.
  • Session data: IP address, browser type, and session token — collected automatically when you log in, used only for security and authentication.
  • Service data: inspection records, compliance reports, invoices, and equipment records associated with your organization's account.
  • Communication data: emails sent to you through the portal (report notifications, invoice notices) are logged for troubleshooting purposes.

3. Why we collect it — and nothing else

We use your information only to provide the services you access through this portal: delivering inspection reports, managing invoices, sending notifications you have opted into, and keeping your account secure. We do not use your data for advertising, profiling, or any purpose unrelated to providing our service.

4. Who we share it with

We only share your information as needed to provide services to you. This means sub-processors such as our hosting provider and email delivery service, but only to the extent required to operate the portal. We do not sell your information.

5. How we protect your information

All data is transmitted using HTTPS (industry-standard encryption in transit) and stored with encryption at rest. Access to your data is restricted to staff with a business need. We log all changes to your account for security purposes.

6. Changes to this policy

If we make material changes to this policy, we will update the effective date at the top and notify account holders by email before the changes take effect.
